1. Introduction

Hire Valerie ("Company," "we," "us," or "our") operates the Hire Valerie platform at hirevalerie.com. This Privacy Policy explains how we collect, use, disclose, and protect information about you when you use our Platform. By using the Platform, you consent to the practices described in this Policy.

Scope: This Policy applies to users located in the United States. We do not currently offer services to individuals in the European Economic Area (EEA), United Kingdom, or other jurisdictions subject to the General Data Protection Regulation (GDPR) or similar laws. If you are located in such a jurisdiction, please do not use the Platform at this time.

2. Information We Collect

2.1 Account Information. When you register, we collect your name, email address, company name (if applicable), and account type (Client or Virtual Assistant).

2.2 Profile Information. Virtual Assistants may provide additional profile information, including skills, years of experience, hourly rate, portfolio links, LinkedIn URL, and a profile photo.

2.3 Payment Information. Billing and payment processing is handled by a third-party payment processor. We do not store full credit card numbers or banking information on our servers. Your payment data is governed by that processor's privacy policy.

2.4 Activity Monitoring Data. For Virtual Assistants working on Platform-provisioned workspaces, we collect and store workspace activity data on behalf of Clients, including:

  • Time tracking entries (start/stop times, duration)
  • Application and window usage data (application names, window titles, duration)
  • Website and URL visits (domain-level)
  • Periodic screenshots taken at intervals during active work sessions
  • Activity percentage scores derived from keyboard and mouse input

This data is collected and stored for the purpose of providing Clients with work oversight tools. Virtual Assistants acknowledge this collection as a condition of using a Platform-provisioned workspace.

2.5 Communications. We collect and store messages sent through the Platform's messaging system between Clients, Virtual Assistants, and Monitors.

2.6 Usage Data. We automatically collect certain technical information when you use the Platform, including IP address, browser type, device type, pages visited, and timestamps. This data is used for security, debugging, and service improvement.

3. How We Use Your Information

We use the information we collect to:

  • Create and manage your account
  • Facilitate matches between Clients and Virtual Assistants
  • Provision and manage cloud workspaces
  • Provide Clients with activity monitoring dashboards and reports
  • Process subscription billing
  • Send transactional emails (account creation, hiring confirmations, workspace credentials, escalation notices, message notifications)
  • Respond to your support inquiries
  • Detect and prevent fraud, abuse, and security incidents
  • Improve and develop the Platform

4. How We Share Your Information

We do not sell your personal information to third parties.

We share your information with:

4.1 Clients and Virtual Assistants. When a Virtual Assistant is hired by a Client, limited profile and contact information is shared between the parties to facilitate the working relationship. Activity monitoring data collected on a Client's behalf is made available to that Client through the Platform dashboard.

4.2 Human Monitors (Managed Tier). If a Client subscribes to our Managed tier, a human Monitor assigned by the Platform may view the Virtual Assistant's activity data, screenshots, and escalation information for the purpose of providing oversight services.

4.3 Service Providers. We share data with third-party service providers who help us operate the Platform, including providers of cloud infrastructure, database storage, payment processing, user authentication, email delivery, and hosting. Each provider is contractually obligated to handle your data securely and only for the purposes for which it was shared.

4.4 Legal Requirements. We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of the Company, our users, or the public.

4.5 Business Transfers. In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred to the acquiring entity.

5. Data Retention

We retain your account information for as long as your account is active, and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce our agreements. Activity monitoring data (screenshots, time entries, window samples) is retained for a period of 90 days from collection by default. Clients may request earlier deletion of their data by contacting us.

6. Data Security

We implement reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, or destruction. These measures include encrypted data transmission (HTTPS/TLS), access controls, and secure credential management. However, no method of transmission over the internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

7.1 Account Information. You may update your account and profile information at any time through your dashboard settings.

7.2 Account Deletion. You may request deletion of your account by contacting us at legal@hirevalerie.com. We will delete your personal information within a reasonable time, subject to retention obligations described above.

7.3 Marketing Communications. We do not currently send marketing emails. If we introduce marketing communications in the future, you will have the ability to opt out.

7.4 California Residents. California residents may have additional rights under the California Consumer Privacy Act (CCPA). You may request to know what personal information we have collected about you, request deletion of your information, or opt out of the sale of your personal information (we do not sell personal information). 8. Cookies and Tracking

We use session cookies and similar technologies to keep you logged into the Platform. We do not use third-party advertising cookies or cross-site tracking. You may disable cookies in your browser settings, but doing so may affect Platform functionality.

9. Children's Privacy

The Platform is not intended for individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected information from a minor, please contact us and we will promptly delete it.

10. Third-Party Links

The Platform may contain links to third-party websites. We are not responsible for the privacy practices of those sites. We encourage you to review their privacy policies before providing any personal information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Policy on the Platform and updating the "Last updated" date. Continued use of the Platform after changes take effect constitutes your acceptance of the updated Policy.
